Dear COE Faculty and Staff,

The Office of the Provost has reviewed the College of Education Professional Responsibilities policy and it is now posted as final here: COE_ProfRespPolicy_Approved_09232024.docx (sharepoint.com)<https://uoregon.sharepoint.com/:w:/s/Unit-LevelPolicies-Approved/Edf8JIs5o4FCkMfEanjkdCMBpr4QwyMm4cfwBUi9QB15Jw?e=tp5tfa>

The policy will also be accessible through the College of Education page<https://coedocs.uoregon.edu/assignment-of-professional-responsibilities-faculty-workload/> along with the additional guidance documents that were previously included as appendices: Implementation Guidance and the Career and Tenure Faculty Workload tracking sheets.

The final policy reflects (a) edits made by the OtP to re-insert templated language where it may have been removed, as well as (b) the following content or language modifications that were made by OtP staff to ensure clarity and/or consistency across policies:

The majority of the changes do not substantively change the policy or practices associated with COE Professional Responsibilities.

  * Page 3: Accounting for Individual Faculty Needs: OtP edits clarify that there will be no appendices attached to the policy. [COE note: We will maintain associated materials separately.]

  * Page 4: Courseload Adjustment: OtP edits clarify that courseload adjustments in the form of course releases, buy outs, and courseload increases are the purview of the Office of the Provost, with deans and colleges operating as designees.

  * Page 5: Course Releases: OtP edits indicate that banking course releases will no longer be permitted. [COE note: This restriction on banking course releases has not been expressly allowed or prohibited in past policies. While course banking was used only infrequently, this will constitute a change in COE practice. Those in circulation will be honored through their natural expiration date.]

  * Page 6: Course Load Increase: OtP edits clarify that course load increases are permitted based on development plans. [COE note: Additional detail regarding the manner in which these will be administered will be maintained separately from this policy.]

  * Page 8: Office Hours and Student Contact: OtP edits clarify that all faculty with instructional assignments are expected to be available for at least two office hours per week.

  * Page 10: Use of Learning Management System (Canvas): OtP edits clarify that undergraduate courses with more than 5 students require a published Canvas site by the first day of class and specify expectations within the Canvas site.

  * Page 14: Workload Expectations for Career Instructional Faculty (CTF): OtP edits clarify that professional development time is part of a faculty member's .2 service FTE. (See also page 16 under "Service" and page 17 under "Professional Development")

  * Page 14: Research, Scholarship, or Creative Activities (CTF): OtP edits clarify that for CTF who have research activities as part of their instructional FTE, the research expectations and FTE should be indicated in a position / job description.

This policy will be effective immediately. We anticipate there will be transitional activities and new learning that occurs as we shift our processes to align with these current expectations. We look forward to working closely with you as a community to resolve implementation issues and to support a smooth transition to the expectations of this updated policy.

With continued gratitude to the Professional Responsibilities Committee for their development of this policy, and to the COE faculty community for your detailed input and review.

Best,
Dianna
