To UO Travelers and Delegates:
Please share these two items with all UO business travelers:



  1.  Travel Policy<https://policies.uoregon.edu/vol-4-finance-administration-infrastructure/ch-4-business-affairs/travel-policy> revisions to the UO Policy Library<https://policies.uoregon.edu/vol-4-finance-administration-infrastructure/ch-4-business-affairs/travel-policy> were enacted June 24, 2021.

Revisions include:

  *   Concur Request is required for pre-approval of all UO business travel.  Concur Request captures the travel destination and dates and allow the university to execute duty of care for its travelers.
  *   All UO business airfare must be purchased either through the traveler's assigned UO travel agency or the Concur online booking tool using the UO airfare credit card.  Airfare purchases made outside of the managed travel program without a compelling business reason will not be reimbursed.
  *   Meal/Incidental and Lodging per diems rates now follow GSA (General Services Administration) guidelines, and are based on traveler's business location.
  *   Incidental definition is updated to mirror IRS guidelines allowing for reimbursement of taxi transportation to obtain a personal meal.





2.)ACTION STEP:

Please note this important change:  Plans at concur.com<mailto:Plans at concur.com> has been retired and has been replaced by plans at tripit.com<mailto:plans at tripit.com> Users who submit travel plans to plans at concur.com<mailto:plans at concur.com> will receive an automatic e-mail reply with instructions to manually add future trips or create a TripIt account and forward plans to plans at tripit.com<mailto:plans at tripit.com> instead.


All Travelers/Concur Users will need to take a one-time action to connect a new or existing TripIt account to SAP Concur Solutions for itineraries to flow to the Upcoming Trips tab.  TripIt Pro is free for all UO employees and should take just a few minutes to set up or to link an account.

TripIt Pro is a top-of the line travel organizer/travel alert system owned by Concur.  Features include:

  *   Itineraries and reservation confirmations at your fingertips.
  *   Airline alerts are "pushed" to travelers before the airlines send notifications.
  *   Next gate is provided while still taxiing, allowing you to bypass airport monitors.
  *   Driving map/direction program alerting drivers to faster routes or to bypass accidents.
  *   Airport mapping feature to direct you to your gate, as well as mapping restroom facilities and coffeeshops.
  *   Travel info for your destination including restaurant options, site seeing, police stations, and pharmacies.
  *   Use it for all your personal travel also.

Once connected, travelers or delegates can forward travel plan confirmation e-mails to plans at tripit.com<mailto:plans at tripit.com>. This allows reservation confirmations (conference hotel, shuttle reservations, etc) can be forwarded to sync up into the same itinerary for one stop travel details.  Previously this was done by sending an email to plans at concur.com<mailto:plans at concur.com>

  *   Delegates can forward itineraries to their traveler's profiles by entering the uoregon.edu email address for the traveler in the subject line of the email.
  *   Your TMC (travel agency) airline itineraries and air receipts automatically flow into your Upcoming Trips tab in your Travel button in Concur.
