Fall
* Did you get your employees I9 and W4 turned in? These can be submitted before their first day.
* If you hired someone in April, have you turned in their W4 and I9?
* Check your rosters during Time Entry
* Is anyone not showing who should be?
* Is there anyone showing who should not be?
* Be upfront with Employees. The cut off for September payroll is September 9th, 2024. If the paperwork is late, please inform your employee that we cannot guarantee on time pay for September 30th.
Updates
* Stipends that are past due will be processed the month it is received in the payroll office and will payout during normal payroll.
* A reminder for Fall Appointments, turn them in as soon as possible so they can be processed early. We are processing them as they come in. Late submissions require more work for everyone and can create hardships for the employee. Our goal is to process pay in a timely manner and continue to serve the UO community to the best of our abilities.
* We are moving to a centralized Inbox, payroll at uoregon.edu<mailto:payroll at uoregon.edu>. Please help us transition to this new system. Do not CC individual pay specialist moving forward, all incoming email should go to the payroll at uoregon.edu<mailto:payroll at uoregon.edu> mailbox and will be rerouted to the individual for processing. CCing individuals in the office creates duplicate emails.

Reminders
* Terminations, LWOP, FTE Reductions, Retirement - Please notify our office immediately if you become aware of employees, especially salaried employees, who are terminating their appointments, retiring, going on leave without pay, or reducing their FTE before September 25, 2024. This includes salaried employees who terminated prior to September 1, but also employees affected by insufficient paid leave hours to cover time off or separation paperwork that is just now being submitted.
Our office would like to work with you in adjusting the employee's September pay to prevent an overpayment. Your prompt notification will prevent financial hardship for the employee. You may email payroll at uoregon.edu<mailto:payroll at uoregon.edu>.
* PERS Retirement Date vs. Termination Date...What's the Difference, does it matter?
Having an incorrect termination date may delay an employee's retirement with PERS, delay payment of their retirement pension benefits, and/or may impact the calculation of their Average Ending Salary which is used in the calculation of their pension benefits. Employees always retire from PERS effective the first of a month. The employee's last day of work (including leave taken) and termination date in Banner needs to be no later than the last day of the month prior to the effective date of their PERS retirement. For example: Joe states he is retiring from PERS on January 1, 2025 and will be submitting a resignation letter. Joe's last workday (including leave taken) and termination date in Banner needs to be no later than December 31, 2024. The last day and termination may be sooner than December 31st, it just needs to be on/or before December 31st. Example: Joe is a 9-month employee, their last day and termination date could be December 15, 2024.
* Direct Deposit forms - When submitting direct deposit forms, we must have a voided check or documents from the bank proving ownership, account number and routing number before we can process the form. If it is not submitted, it will delay the employee getting direct deposit set up. As a reminder, employees can also go online through DuckWeb to set up direct deposit themselves.
* Help Us Go Paperless- Did you know that not only can you request to have paperless earning statements via DuckWeb, but you can also request electronic W2s?

Instructions for Electronic W-2 Consent via Duckweb:
* Sign into Duckweb.
* Navigate to the "Employee Information" tab.
* Click "W-2 Wage and Tax Statement".
* Click on the "Electronic Regulatory Consent" link.
* Check the "My Choice" box to consent to receive your W-2 electronically.
* Click "Submit". A confirmation will appear towards the top of the page.
