Dear faculty,

We are writing on behalf of the Office of the Provost to ask you to curate your scholarly activities in Elements. The rationale for this request is provided at the end of this email. These steps should require no more than 60 minutes for most faculty.


Claiming Scholarly Activity in Elements
We ask you to complete steps 1 and 2 below by April 30. Detailed instructions are on OtP's Getting Started webpage<https://provost.uoregon.edu/elements/getting-started>.

  1.  Log into Elements and update your profile and research identifiers so that Elements can find your publications and other scholarship on public online sources such as ORCiD.

     *
At this point, you will need to pause for approximately 24 hours until Elements has had an opportunity to update your information.

  2.  Review and claim your scholarly activity (and sponsored project activity if relevant). You can come back into the system and continue where you left off.

     *   The present goal is to capture your activities in Elements for the 2026-2027 review cycles onward, so focus on recording activity that occurred within the period of your next review. You are welcome to put the entirety of your work into Elements; however, this request is only for the review periods needed for upcoming major reviews.


  1.  Use the manual entry process to add any missing items.

     *

Need More Hands-On Help?
The COE Office of the Dean has also arranged two drop-in sessions where OtP staff will be present in-person to help any faculty that need additional support (please complete step 1 before attending):

Tuesday April 14th from 1:30-2:30pm in HEDCO 230T
  *
Friday April 17th from 12-1:30pm in HEDCO 230T

Remote support from OtP staff is available during weekly Friday drop-in hours<https://provost.uoregon.edu/elements/training-and-support> from 10-11am throughout spring term.



Rationale

The purpose of the Elements transition is to modernize faculty activity tracking. Elements will provide a streamlined and consistent experience for faculty review and promotion.


This message is being sent to faculty in CAS, LCB, LAW, COE, Ballmer, KCASI, and Libraries because we believe Elements will be able to automatically collect most scholarly activities for people in these units.  We will include the other academic units next year.

We will follow up later in spring with instructions on curating teaching and service activities in Elements. The goal is to have these data entered before Fall 2026, for internal use for the 2026-2027 review cycle.
