[Cas-allemps] CAS Shared Services Update, Staffing and Space

Please see the below for the latest information on the CAS Shared Services Project.


STAFFING


With the Senior and Associate directors in place, staffing planning and processes are moving forward in each ASU and the CBO. CAS will be running both internal and external processes at the same time and, after consultation with HR, will use the most streamlined and efficient processes available. Senior and Associate Directors are in the process of having conversations with existing classified staff and OAs for firming up future assignments. The primary mechanism for hiring current staff into new roles is to utilize simplified internal searches. These searches will be internal to each ASU to allow people to continue to utilize their specific expertise in those areas. The process will consist of the Associate Director emailing ASU administrative employees in a given employee group (OA or classified) in their ASU and asking them to respond if they are interested in a position (see positions below). If only one person is interested, that person may be directly appointed. If multiple people are interested, at least two people need to interview all interested candidates and make a selection.
In addition, CAS will soon begin posting OA and classified positions for ASU and CBO vacancies that will exist after all internal candidates have been placed. Internal candidates will be eligible to apply for the posted positions if they’d like to move classifications or away from their current ASU.
For reference, each ASU is composed of the following positions, with the status of those positions in parentheses.
Associate Director (filled)


  *   Operations Manager (OA PD under review; should post for ASUs with vacancies in the next few weeks)

  *   Operations Specialist and Operations Coordinator (classified; not every ASU will have both levels; PDs under development)
  *   Faculty Specialist and Faculty Coordinator (classified; not every ASU will have both levels; PDs under development)

  *   Academic Programs Manager (OA PD available; should post for ASUs with vacancies in the next few weeks)

  *   Undergraduate Specialist and Undergraduate Program Coordinator (classified; not every ASU will have both levels; PDs under development)
  *   Graduate Specialist and Graduate Program Coordinator (classified; not every ASU will have both levels; PDs under development)




As we continue to deal with the lack of staffing during the talent shortage across the country, CAS is committed to an aggressive hiring strategy which includes pooled searches, expanding advertising tactics, appealing to hybrid and remote work environment, focused career goals and professional growth opportunities for talent, and partnering with local colleges on recent graduates. We are also building our talent acquisition team, who will focus on identifying and creating new talent pipelines and recruiting strategies.


CAS has recently hired nine new staff from the classified pools that have started or will start in the next few weeks. They will focus on travel, contracting, grant administration, employee engagement, and accounts payables, and UG and Grad coordination in both the CBO and ASUs.

After additional consideration and conversations with staff and faculty it has been decided that the CBO will expand its scope to include event services.  We are currently looking to fill several event coordinator positions, which will assist in working with the ASUs and the Deans office with event activities.



SPACE

Agate Hall: The CAS Planning, Design and Facilities team, Cathy Soutar and Amy Salmore are hard at work preparing furniture and equipment layouts, space planning, sequencing moves, and ensuring the new facilities are vacated, cleaned, and ready for CBO’s arrival.  Spaces are currently occupied so a phased approach to move-in is being developed. Move-in anticipated to begin late August and be completed prior to start of Fall term. Moving supplies will be delivered to current locations approximately one week before moves. It is assumed that the Agate Hall spaces will be fully furnished and equipped ahead of move-in so please anticipate relocating computers, monitors and work materials only.



ASU Spaces: Staff who are remaining in the ASUs will continue to work at their current locations until the Senior and/or Associate directors communicate plans with them directly. Any necessary moves will take place during the 22/23 academic year as space determinations and decisions are made. Staff will have ample notice if and when a move will occur.
