New single commodity code 000 effective July 17th 2024

Attention Invoice Payers (FAAINVE users),

The UO has always utilized commodity codes in the Banner Finance system to track types of purchases made.  As we migrate to new purchasing systems like Duck Depot and Amazon, that data is readily available from our vendors and is no longer required as part of the invoice payment process.

Effective July 17th (after FY24 close), all invoices will be paid using a new single commodity code 000 with description "All Commodities".

This change will save staff time for commodity code entry and the licensing cost we pay for using the national commodity codes.

Existing commodity codes will be available in FAAINVE through July 16, 2024, for both FY24 and FY 25 invoice payments.

All existing Banner Commodity Codes will be terminated Effective July 17, 2024 (FY25). The codes and descriptions will remain visible in the Commodity Validation page (FTVCOMM), but you will get an error if you try to use them.

This change will not impact our ability to query commodity information for invoices entered prior to July 17th 2024.

Invoice entry instruction effective July 17th 2024:

In the Banner Commodity Info - Direct Pay/General Encumbrance block you will be required to enter at least one commodity code 000 with the total commodity amount of your invoice payment. You may split the commodity amount over different amounts, but you will only be able to use commodity code 000 for each amount. The total commodity amount must be the total of your payment in order for the payment to balance and allow completion).

The commodity description can be edited with whatever descriptive you choose when paying Direct Pay and Regular invoices (or creating Banner PO's), but not when using the Multiple Invoice page FACICON.
