I-9 Rehire Update – The Payroll Office would like to clarify the guidelines for rehires and I-9 documentation:
* If an employee is rehired within three years of their original hire date (the date the initial I-9 was completed), a new I-9 form is not required, provided the employee remains authorized to work under the same conditions as indicated on the original form.
* If more than three years have passed since the original I-9 was completed, a new I-9 form must be completed at the time of rehire.
Student terminations- It’s that time of year again when students graduate and move on to new adventures. If you are aware of any students who will not be returning, please process their termination paperwork as soon as possible.
There are two ways to terminate a student:
1. Submit an ESR – Indicate the reason for termination on the ESR. If the student resigns, please attach a copy of their resignation notice.
2. Process an MCR with the termination section completed. Place the reason in the remarks section – If the student resigned, please attach a copy of their resignation notice.
Summer Remote Work- If employees will be working remotely from another city or state at any time during the summer, they must complete the Employee Working Outside Oregon form: https://ba.uoregon.edu/payroll/employee-working-outside-oregon
This requirement applies regardless of the duration and is necessary to ensure proper tax withholding and compliance. Employees should also be mindful of potential tax implications.

Reminders
Overtime Spreadsheet- For departments who are not in UKG, be sure to send your overtime tracker spreadsheet monthly to uopayroll at uoregon.edu<mailto:uopayroll at uoregon.edu>. This helps to ensure the tax accountant will receive the information timely.
Terminations, LWOP, FTE Reductions, Retirement: If you know of any employees terminating, retiring, going on leave without pay, start date change, or reducing FTE before June 25th at 9:00am, please notify Payroll immediately. This includes salaried employees who have terminated before July 1st or those impacted by insufficient paid leave or delayed separation paperwork. Early notification helps avoid overpayments and ensures accurate June pay.

If any summer appointments are canceled, please notify Payroll right away to avoid overpayments.
* Helpful Termination Note:
When employees leave the university, remind them to update their mailing address to ensure that tax documents will be mailed to the correct address.
PERS Member Annual Statements. PERS mailed the 2025 member annual statements to all nonretired members in May. The 2025 statement reflects PERS benefits and information through December 31, 2025.
