Fall Term Hires and Hire Documents
* A reminder for Fall Appointments, turn them in as soon as possible so they can be processed early. We are processing them as they come in. Late submissions require more work for everyone. Our goal is to process pay in a timely manner and continue to serve the UO community to the best of our abilities
* Did you get your employees I9 and W4 turned in? These can be submitted before their first day. Early submission helps ensure timely setup, direct deposit enrollment, and avoids late pay issues.
* Be upfront with Employees. The cut off for September payroll is September 11th, 2025. If the paperwork is late, please inform your employee that we cannot guarantee pay on time for September 30th.
Document submission:
When submitting documents to the Payroll Dropbox, please combine all files into a single document and include the employee’s E-Class type in the document title. This helps ensure the information is routed to the appropriate person promptly and efficiently.
Departments are responsible for reporting any employees who will be working outside of Oregon.
To report an employee, please complete the Employee Working Outside Oregon web form. https://ba.uoregon.edu/payroll/employee-working-outside-oregon
Important Notes:
* Employees are not permitted to self-report their work locations.
* Employees working outside Oregon must complete the Oregon Withholding Affidavit to verify they are not subject to Oregon state taxes under ORS 316.027(1). (Payroll will provide this form directly to the employee.)
Please do not refer out-of-state remote employees to the Oregon Unemployment Office. These employees must file for unemployment benefits through their home state's Unemployment Office.
Reminders
* Terminations, LWOP, FTE Reductions, Retirement:
If you are aware of any upcoming changes, terminations, retirements, leave without pay, FTE reductions, or start date changes—before August 26th, notify Payroll immediately. This includes salaried employees terminating before September 1 or those affected by insufficient paid leave or delayed separation paperwork. Early notice helps prevent overpayments and ensures accurate August payroll.
