Fall Term Hires and Hire Documents
* A reminder for Fall Appointments, turn them in as soon as possible so they can be processed early. We are processing them as they come in. Late submissions require more work for everyone. Our goal is to process pay in a timely manner and continue to serve the UO community to the best of our abilities
* Did you get your employees I9 and W4 turned in? These can be submitted before their first day. Early submission helps ensure timely setup, direct deposit enrollment, and avoids late pay issues.
* Be upfront with Employees. The cut off for September payroll is September 11th, 2025. If the paperwork is late, please inform your employee that we cannot guarantee pay on time for September 30th.
Student CBA Wage Increase - Student wages increased on July 16, 2025. All jobs that were below the new rates were updated in Banner.
This rate increase will create two timesheets for the August time entry.
Departments on the Exception Hourly (13th-12th) Pay Period:
Any hours worked July 15th or before (Old rate) should be entered into the first timesheet.
Any hours worked on July 16th and beyond (New rate) should be entered into the second timesheet.
Note: If hours are entered on only one timesheet, you will have either overpaid or underpaid your employee!
Departments on the Standard Hourly (16th-15th) Pay Period:
All hours worked on July 16th and beyond (New rate) should be entered into the second timesheet.
Note: If hours are entered on the first timesheet, you will have underpaid your employee!
Reminders
* Terminations, LWOP, FTE Reductions, Retirement:
If you are aware of any upcoming changes, terminations, retirements, leave without pay, FTE reductions, or start date changes-before August 26th, notify Payroll immediately. This includes salaried employees terminating before September 1 or those affected by insufficient paid leave or delayed separation paperwork. Early notice helps prevent overpayments and ensures accurate August payroll.
