Work Study Message:
Thank you for employing University of Oregon students in work-study positions. Your partnership is vital in helping students succeed both academically and professionally. By offering meaningful employment opportunities, you provide essential financial support that helps students pursue their education and contribute to their growth as future professionals, leaders, and engaged citizens.
We are currently researching how students' work through these positions impacts the broader community. If any of your work-study students are employed in roles that benefit people or organizations beyond campus, please let us know-we'd love to learn more about the reach and significance of their contributions.
We appreciate your commitment and are continually exploring ways to expand the impact of work-study opportunities.
May Triples are coming up soon- Spreadsheets for employees who should not be tripled are due by May 12, 2025. Please review the information regarding the May Triple Deduction process on the Business Affairs website: May Triple Deduction. The spreadsheets should be emailed to payroll at uoregon.edu<mailto:payroll at uoregon.edu>.
Oregon BOLI 35-day Rule Reminder:
The Oregon Bureau of Labor and Industries (BOLI) enforces regulations on pay periods, requiring that employees be paid at least once every 35 days. This rule ensures that no employee goes longer than 35 days without receiving pay. However, for hourly employees who start at the beginning of a pay period, it's possible they may not receive their first paycheck until after 35 days.
For example, if an hourly employee begins work on April 16th, their first paycheck wouldn't be issued until May 30th, which would exceed the 35-day limit. For employees who are over the 35 days without pay, you must submit a pay advance to the Central Payroll Office to ensure UO is compliant with BOLI regulations. SEF Form: SEF form is going to be phased out. The last day the paper form will be available is June 30, 2025. All Student New hires must be done via EPAF.
Summer Remote Work: If you have employees who will be working remotely over the summer in another city or state, please complete the Employee Working Outside Oregon web form found at https://ba.uoregon.edu/payroll/employee-working-outside-oregon. Reporting the change to the payroll office ensures proper tax withholding and compliance.
Reminders
New Hires: New hires can submit their hiring paperwork before their first day. Early submission helps ensure the employee is set up timely, enrolls in direct deposit for their first paycheck, and avoids any late pay issues.
Terminations, LWOP, FTE Reductions, Retirement: If you know of any employees terminating, retiring, going on leave without pay, start date change, or reducing FTE before April 27th, please notify Payroll immediately. This includes salaried employees who have terminated before June 1st or those impacted by insufficient paid leave or delayed separation paperwork. Early notification helps avoid overpayments and ensures accurate May pay.
