Time Entry Instructions


  *   SEIU Retro COLA to July 1 - Reminder: You do not need to enter any retro pay for the COLA and there will not be two timesheets to split hours as all hours should be paid at the new COLA rate. The Central Payroll office will be calculating and administering the COLA retro pay.
  *   Time Entry Instructions for Longevity Premium - Due to the effective date of November 1st, eligible hourly employees will need their October-November pay split out as follows:

For Hourly Employees:

PHAHOUR - There will be two timesheets for eligible hourly classified employees; e-classes CD, CE, CH, CI, CL, CM, and CN.

For November Time Entry:

     *   Timesheet # 1 with Effective Date 11/01/2019 for hours through October 31, 2019.
     *   Timesheet # 2 with Effective Date 11/02/2019 for hours beginning November 1, 2019.
     *   Ensure all leave hours taken (sick, vacation, comp. and personal) and overtime hours worked are recorded for the correct time period.
     *   Note: The rate in PHAHOUR will be the same for both timesheets, but you will need to be sure hours are split properly for the Longevity effective date. If hours are entered on only one timesheet (for hourly employees) you will have either overpaid or underpaid your employee!


For Salaried Employees:


For November Time Entry:

  *   Overtime hours worked in October - use earn code OTP (overtime for prior month), and enter the special rate at the current timesheet rate (COLA rate). This will prevent Longevity paying on October overtime.

For Longevity Eligible Employees:

November 1st and going forward:

     *   Lead Work and Work-out-of-Class differentials should not be increased by the Longevity premium.
     *   For Longevity eligible employees who have paid overtime hours and are receiving Lead Work and/or Work-out-of-Class you will need to use OTP with the following calculations:
        *   Lead Work: Base rate + 7.5% (5% DLW + 2.5% DLP). Do not stack differentials.
        *   Work-out-of-Class: Base rate + 2.5% + DWC rate. Do not stack differentials.
     *   If you'd like to see the DLP, you can run the PWIPAYR Hours Entered report on the second business day after time entry closes (November 22nd).
     *   The Classified Roster report in PWIPAYR will be modified sometime this month to include a Longevity Premium indicator.

Time Entry and Two-Step Login


  *   Important:  As you may know, two-step login starts for all Banner users on Wednesday, Nov. 20. This is the last day of the time entry window for November.  Be aware that this will add an extra step to your Banner login process.  We strongly encourage you to take action now to avoid any disruptions to time entry on Nov. 20.

On Nov. 20, you won't be able to access Banner until you've registered a device (cell phone, desk phone, or hardware token) for two-step login.
