payroll: Employee Information Form (EIF): Updated Biographical Data

In conjunction with Human Resources, the Payroll Office has updated the EIF to include additional optional questions to comply with Oregon law. The new EIF has been posted individually as well as updated in all of the bundled hire packets. A supplemental form has been added to the bundled student hire packet to allow student employees to answer the optional questions as well.

Below is the memo sent to HR Partners:

HR Partners:

The employee information form completed by all new employees now includes new biographical data questions in order to comply with Oregon law. New employees will be asked to voluntarily provide gender identity and sexual orientation information in addition to legal sex.

What you need to know:

  *   The additional biographical data questions and possible answers are required by Oregon Senate Bill 473<https://www.google.com/url?sa=t&rct=j&q=&esrc=s&source=web&cd=1&ved=0ahUKEwiqkaaMxvvaAhUI_WMKHa_jCFwQFggpMAA&url=https%3A%2F%2Folis.leg.state.or.us%2Fliz%2F2015R1%2FDownloads%2FMeasureDocument%2FSB473%2FEnrolled&usg=AOvVaw3EpkK0exn3iSADlgP_D0sg> and mandated by the Oregon Higher Education Coordinating Commission (HECC).
  *   Providing responses to these questions is optional. A new employee's responses are completely voluntary.
  *   Biographical data voluntarily shared by a new employee during the hiring process will not be used in employment decisions.
  *   New employees are directed to additional information regarding the biographical data questions on the HR website<https://hr.uoregon.edu/hr-operations/records-data-management/legal-sex-gender-and-sexual-orientation-data-collection>. The webpage explains why the data is collected, who has access to the data, and its intended use.
  *   All new employees who have not filled out their employee information form (EIF) prior to May 14 will be asked the new biographical questions.
  *   MyTrack has been updated to include the new questions, and new hire packets provided by Payroll are also updated with the new EIF.
