payroll: Student Employment Eligibility

For continuing students in your department, you should run the Student Employee Credit Hours report from PWIPAYR to determine their eligibility to continue working. Students are eligible to work one free term per academic year. If a student has graduated, they are also eligible to work as a student one term past their graduation with approval from Human Resources.

International students need to have approved Optional Practical Training (OPT) from USCIS in the form of an Employment Authorization Card, or Academic Training authorized by International Affairs to work past their graduation. The Payroll Office needs a copy of the EAC or Academic Training authorization to show their continued eligibility for employment.

Note:  You will not see students on the report if you just submitted student hire documents for the October payroll.  However, we do check their current enrollment to verify eligibility while setting up the jobs.  Ideally, we recommended departments run the report twice a term to ensure continued eligibility.
