Hello, CSPY faculty and doctoral students,



I write today to introduce the university ombuds program and outline tomorrow’s meeting.



We have been invited to attend to share about options for students to engage in a confidential process through the ombuds program. Such a process allows individuals to share concerns with their department/unit in a way that protects confidentially by sharing them through the ombuds program. Tomorrow, we will describe what we do as part of these processes and invite discussion on whether or not this is something that students believe would be beneficial and if so, what specific process you would like to have in place.

10:30 am: Dr. Dianna Carrizales from the COE will be attending to share about options for reporting issues in the college and university overall. Following this, the ombuds program will share about confidential group processes, as mentioned above, and open discussion on this topic. These discussions will be conducted via Zoom.



11:15 am (or when previous Zoom discussions have concluded): Zoom meeting attendees are invited to gather in person in 276 Education. There is no further business to discuss, and this part of the meeting serves to offer a chance to meet in person as a community.



Additional Information about the ombuds program and group processes:

The ombuds program is always available to students and employees for confidential services. We serve as a completely independent, impartial, informal/off-the-record, and strictly confidential service. Typically, our role is to hear concerns, provide options and information about campus policies and resources, and help people identify next steps. We do not keep formal records and/or serve to provide notice to the university.



When we are asked to serve as part of a process such as this one for your department, we still adhere to those same principles outlined above. However, we will use the information shared with us to provide anonymized and aggregate feedback to the department. We usually do this by identifying themes and sharing more generalized and anonymized concerns within those themes. We are also willing to meet with you and, at your request, NOT include your feedback in the aggregate feedback to the department.
