coe-staff: Important changes impacting COE mail delivery

This is an important message regarding changes to the delivery of mail to programs and departments. Please review and share with the relevant individuals in your areas.

Over the past few months, UO Mail Services has received an increasing number of packages and mail addressed only to individual staff members, without a department listed. When a department is missing, mail staff must search for the recipient in Find People, which is not always up to date, making it more difficult to ensure accurate delivery. This issue is becoming more challenging as Amazon consolidates deliveries and routes more packages through UO Campus Mail than in the past. As a result, incomplete addressing can delay processing and delivery.

To improve accuracy and efficiency, UO Campus Mail asks that departments use their assigned ZIP+4 mailing address and avoid using physical building names or suite numbers. A list of departmental addresses and how to label packages is available here<https://adminservices.uoregon.edu/uo-addresses>.

UO Campus Mail will also be launching a new tracking process to improve visibility for all packages. In preparation, they are requesting that departments begin updating their mailing practices now.

When placing Amazon orders, please update the first address line to include both your name and department, and use your departmental mailing address. A list of those is available here<https://publish.smartsheet.com/610ba7b43f83447298b12c3cf4bde90f>.
