Welcome back to campus and to the start of the 2021-2022 academic year. I hope all of you managed to relax and rejuvenate over the summer to prepare for what is bound to be another complicated year. This year as we resume in person courses and activities we will continue to need to be flexible and have a problem solving mindset as we continue to cope with the rise in COVID-19 cases locally and nationally.
Campus vaccination rates are high, but as we know we do not exist in a bubble and the reality is that we will most likely be responding to absences of faculty, staff, and students due to COVID related reasons. To this end we are providing the following recommendations for all faculty and instructors in the college to ensure students will have access to course content. In this email you will find guidance to address some of the questions I have been receiving. If you have questions that are not addressed in this email please reach out and I will find the appropriate responses.
Strategies to approach student or instructor absences
Instructors are not required to deliver courses at a distance to accommodate student absences due to COVID related circumstances such as caring for family members, illness, or quarantine. However, instructors should be prepared to make course content available.
Recording class lectures: We recommend that all faculty record their class lectures using Panopto. You do not have to pre-record your lectures, but rather you can record while you are delivering the lecture. There are many resources that can help you learn how to use Panopto which records the delivery of your lectures within Canvas. Adam Pritt has created short tutorials on using Panopto and those videos can be located at this link.

Absence plans should be specified on your syllabus: You will notice on the syllabus template that I have included an area where you can describe your plan to students should you or any of them need to be absent due to COVID related circumstances. As instructors you have discretion about the specifics of these plans, but it is advised that you plan ahead and make your expectations explicit and clear so that students will know what to expect. The following is the section you will see on the syllabus template:
If students need to be absent for 2 classes or less due to a COVID related quarantine or illness I will (INSTRUCTOR DISCRETION: Add your plan here)
If students need to be absent due to a COVID related quarantine or illness for 3 class sessions or more I will (INSTRUCTOR DISCRETION: Add your plan here)
There is also the possibility that I may be absent due to COVID related concerns such as exposure, quarantining, or caring for family. The following plan is in place for this course should I need to be absent for 2 or more class sessions.
If I am going to be absent due to a COVID related quarantine or illness for 2 classes or less I will (INSTRUCTOR DISCRETION: Add your plan here)
If I am going to be absent for 3 class sessions or more due to a COVID related quarantine or illness I will (INSTRUCTOR DISCRETION: Add your plan here)
Avoid class participation points: It is recommended that we avoid class participation points this year as we may have fluctuating attendance and in-class assignments based on participation will be impossible for some students to complete given circumstances beyond their control. So please consider eliminating participation points that are based solely on in person class attendance.
Make-up sessions: It is up to the instructor to decide if make-up class sessions are warranted or feasible. Hopefully, if class lectures are recorded and available on Canvas and if course materials are posted there should be little need for make-up sessions, but certainly instructors could develop systems where GTFs lead make-up sessions or they are scheduled during office hours. However, these decisions are at the discretion of the instructor.
Teaching toolkit: The Teaching Engagement Program (TEP) also has a toolkit posted that has many suggestions and strategies for teaching during “turbulent times” that you might find useful as you plan for this year. Graduate Teaching Fellows
Graduate Teaching Fellows may also need to be absent due to COVID related reasons and these situations will need to be negotiated with their direct supervisor for the term. If a graduate student who is assigned to teach in person cannot fulfill this obligation they will need to seek an accommodation through the Accessible Education Center (AEC) which is the campus unit that will evaluate student needs to assist with providing and authorizing the necessary support. While the AEC website refers frequently to disabilities, the unit responds more generally to concerns that impact instruction including health concerns https://aec.uoregon.edu/make-appointment-aec. Should GTF reassignment be necessary faculty should contact their department chair and program directors to develop a new plan.
Diversity, Equity, and Inclusion and the COE Curriculum
Many of your programs have undertaken laudable efforts to review and revise the curriculum to include more content on diversity, equity, and inclusion. Please remember these efforts as you develop your syllabus for this year. I have attached the Syllabus Review Guide for Equity-minded Practice developed by the Center for Urban Education that can help you review your syllabus with an equity lens to meet our colleges mission of promoting equity and anti-racism through thoughtful and strategic reviews of our curriculum, policies, and procedures.
