Dear Faculty and Staff,

I am writing to provide you with an update about the next steps regarding our College of Education website. As Randy noted in our last faculty and staff meeting of the year, surveys of prospective students have demonstrated that our website is now our primary student recruitment tool. Consequently, we now view the website at a living digital communication platform that will require continuous updating, improvement, and refinement. This is the rationale for hiring a dedicated digital specialist who can ensure that our website is always accurate, compelling, and timely.

The website is scheduled to launch on February 18th. We will go live with the very best information we have, but will continue to update and improve the website over time. Our first updates will occur within a "correction window" and then, when we are through the primary development phase, updates and will occur as part of ongoing maintenance.

In the coming days as we enter into our final steps of the primary development phase, you will be receiving a few updates and requests from Jessica Roberts. I urge you to please look for the following emails and take the time necessary to respond as appropriate.


  1.  Website content. Later today Jessica will be sharing the website's "staging" version of the web content with program directors so that they can facilitate any necessary corrections. This is the content that programs provided this past fall, now re-formatted and re-written for our external audience and prospective students. The "staging" content will not be in an editable format, however, you will be provided with a Qualtrics survey link that allows you to provide Phase I corrections to the website material for your program. The corrections that you provide at this stage, will need to fit a certain expectation; in this case, we will be prioritizing egregious or critical corrections, or corrections and additions related to accreditation. All other corrections will be considered in Phase II and will be addressed later in the winter and/or spring terms, dependent on the work required to make the updates and edits.


  1.  Faculty list. Next week, Jessica will send a Qualtrics survey to collect missing/updated information regarding your posted bios. We would like to go live with as many of your bios/profiles completed as we possibly can. Please complete the survey by January 25th in order for your bio to be complete on the first day of the launch of the website.



  1.  Photographs. On January 25th, Jessica has arranged to have a photographer from the Central Communications office to come to HEDCO to take consistent headshots that will be uploaded to the existing faculty bios. Headshots are for faculty and staff included in Phase I of the website. Additional opportunities for photos for the remainder of our faculty and staff will be scheduled for a later date. Look for Jessica's email with more information but please mark your calendar now.



  1.  Communications plan. In February, look for our college's full COE Communications Plan that will provide information about the Communications priorities, strategies, and tactics planned for the foreseeable future.
