The following notes were provided by the Central Communications Office to request participation in (and share information about) our upcoming communication activities:
Dear College of Education Faculty and Staff,
As you know, our College like many across campus, will be working with University Communications to develop and implement a comprehensive communications plan that will help us meet our strategic goals. To be effective in our efforts, your input and insight is important.
In the next several weeks, University Communications would like to arrange to meet with College of Education representatives to participate two types of meetings being planned - one specific to the College of Education website and one to discuss our overall communications efforts.
REQUEST: Given the size limitations suggested by central communications, please identify and share with me (Dianna Carrizales-Engelmann) by March 15th, 2017 COB the primary / key individuals you believe would be ideal to represent your department, unit, or program in these discussions given the content of each meeting.
Website Stakeholder meeting
What: The College of Education website redesign team will be conducting a "requirements gathering workshop" with COE faculty and staff who work closely with prospective and first year undergraduate and graduate students. The purpose of this workshop is to gather feedback on the following to help inform the College of Education's website's redesign:
* Purpose of COE website
* Desired outcomes of a successful website redesign
* Messaging and actions a redesigned website should promote
* Needs, behaviors, and concerns of prospective and first year students using the COE website
This meeting will include group discussion and small group work.
Who: 15-20 faculty and staff who work closely with prospective undergraduate or graduate students. These participants should have an understanding of these audience's needs, behaviors, questions and concerns as well as the mission of the COE in recruiting and supporting students.
How long: This workshop will be 2 hours.
Communications Audit meeting
What: This is a workshop-style meeting designed to gain an understanding of the department's or program's current positioning and key messages, primary audiences, current tactics, and communications goals.
We'll cover things like:
* What makes your department/program unique and desirable, as compared to similar programs at other universities?
* Name three stakeholder groups that you currently communicate with or that you want to communicate with.
* What are the top three things you want to accomplish when communicating with those audiences?
The deliverable following these meetings will be a summary and analysis of the internal perspective of who each of our programs is trying to reach and why. This will lay the initial groundwork for our communications plan.
Who: 10 key faculty and staff from departments and programs.
How long: 1 hour per group
In addition to these activities, certain students will be invited to participate in a focus group review of our website. Students will receive the following email later today.

Dear Student,
Help us redesign the College of Education website!
In an effort to improve communications with prospective and current students, the College of Education website redesign team is conducting one-on-one website usability studies. The goal of these studies is to understand how students interacted with the site when first researching a major/program and how they use it now.
Who can participate in these studies?
We are looking for the following students to participate in these studies:
* Current undergraduates considering an education major but who have not yet entered a program.
* First year undergraduates who recently started an education program/major Fall 2016.
* First year graduate students who entered their program Fall 2016.
What is involved?
These are informal, one-on-one studies in which you will use the College of Education website to find information of interest. There are no right or wrong answers and you do not need to review the website to prepare for your study.
When are the sessions?
Each study will be scheduled at your convenience.
How long will each session take and what do I get for my time?
* Individual studies will run 1 hour.
* You'll receive a $10.00 campus cash card for your time. Snacks will also be provided.
Confidentiality and Consent
Your information and feedback will be kept completely confidential and will only be used to help the College of Education website redesign team evaluate potential improvements to the site.
These studies are voluntary and you can withdraw your consent to participate at any time.
