coe-fac: Department Workload Planning Scheduled to begin

Dear COE faculty,
This message is directed towards Tenure Track (TTF) and Career Faculty (CF) in Academic Departments.
On March 3rd, departments will begin the 2025-2026 workload process to determine instructional coverage and navigate broader workload considerations (course reductions for TTF, approved course releases, service activities, research buyouts etc.) for the upcoming academic year. This year, core faculty members will once again receive an individualized Workload tracking form to assist in mapping out the year ahead.
In the coming days faculty will receive an email from Amy Green, Director for Academic Personnel and Policy, with a link that provides access to the folder containing your individualized Workload tracking forms. This folder will include any forms you completed last year when this process began. Between March 3rd and March 17th, faculty are asked to complete the 2025-2026 form to the best of their knowledge to provide information that may assist the department head in this expansive decision-making process. Please complete the form by March 17th in the shared folder. Department heads will access materials directly from the folder after March 17th to begin developing the departmentwide schedule. Departments will provide their own internal timelines regarding next steps and communication with faculty about the completed instructional assignments. Completed assignments will be submitted to the COE on June 1st.
The Workload tracking forms used in this process are intended to allow COE instructional faculty (TTF and CTF) to indicate their preferred / intended instructional activities as well as their research, service, and buyout intentions for the upcoming year based on current information (to the best of their knowledge) or historical information. These workload tracking forms are living documents that capture some of the specifics of the workload conversations faculty have with department heads each year. Department heads are aware that this year there may be more unknowns than typical in your planning. Your department head will provide additional information about the process that works best by department in navigating the knowns vs unknowns for this year's activity.
In some cases, the process of engaging in workload discussions between a faculty member and department head, may take place wholly by documentation exchange and email, whereas other exchanges may be more extended and warrant a meeting.
Once workload tracking forms are completed in the folders (after March 17th), the department head will use faculty's instructional preferences and suggestions, in combination with the department's programmatic instructional needs, to assist in informing their larger decision-making process for the 2025 - 2026 academic year. The instructional activities that faculty submit on the Workload tracking form are suggestions that will guide the department, but that are subject to change based on the broader needs and resources across a department or within a program.
