Dear Faculty,

As we edge toward the end of January I wanted to announce the timeline of the College of Education's faculty annual performance review process as well as notify you of a few important updates related to the spring evaluation process.

Faculty Annual Evaluation Timeline and Process Information:

Timeline for all Faculty Reviews (Instructional NTTF, Research NTTF, and TTF):

  *   January 1, 2020 - December 31, 2020 (period under review for all faculty).  The review will encompass all professional activity within the 2020 calendar year from January 1st 2020 - December 31st 2020 (which includes publications, instruction, service, research and contributions to equity and inclusion as relevant to the faculty position).


  *   March 6, 2021 (Deadline for submission of all required materials): No later than March 6th 2021, all faculty under review will submit required documents to their supervisor. Supervisors will begin scheduling 1-1 annual review meetings with faculty to discuss performance in the past calendar year and discuss performance goals for the upcoming year.  See below for the materials necessary for each faculty level.


  *   April 9, 2021: By this date, supervisors must have completed all evaluations and all evaluation materials must be submitted to COE HR.

Materials for Faculty Classification:
All Materials

  *   Faculty Annual Review Templates and Forms<https://coedocs.uoregon.edu/display/governance/Annual+Review+and+Merit+Review+Policies> are available on the COE Governance site.  Faculty and their supervisor must use the most current versions of the templates stored on the COE Governance site.
  *   Note: In light of the unique circumstances of 2020, all faculty are invited to add an optional statement to their annual review materials regarding the impact of the COVID-19 pandemic on their research, teaching, service, and clinical service.

Instructional NTTF (Career, Retired and Pro Tem):

  *   By the March 6th deadline, Instructional Career Track Faculty must submit to their Department Head and Program Director:
     *   A completed Instructional NTTF Annual Review Executive Summary: This document outlines performance accomplishments, achievements, and growth over the performance period of January 1, 2020 - December 31, 2020 and should be no longer than two pages in length.
     *   A highlighted CV: The CV should highlight (via color coding/shading) calendar year 2020 accomplishments. There are no restrictions on page lengths for CVs.
     *   Note: The Annual Work Assignment planning sheet that has been used optionally in previous years, will now be required for all instructional faculty.  You and your Department Head or supervisor will use this sheet during your evaluation discussion to document annual instructional workload as well as any approved variations from COE's workload policy.

Research NTTF (Career, Retired and Pro Tem):

  *   By the March 6th deadline, Research Career Track Faculty must submit to their supervisor:
     *   A Research NTTF Annual Evaluation form with sections noted: To be completed by faculty member: Note that there are three versions of this form, one for each research classification series (Research Assistant, Research Associate, Research Professor).
     *   A highlighted CV: The CV should highlight (via color coding/shading) calendar year 2020 accomplishments. There are no restrictions on page lengths for CVs.

Tenure Track Faculty Only (does not apply to tenured faculty):

  *   By the March 6th deadline, Tenure Track Faculty must submit to their Department Head:
     *   A completed TTF Annual Review Executive Summary: This document outlines performance accomplishments, achievements, and growth over the performance period of January 1, 2020 - December 31, 2020 and should be no longer than four pages in length.
     *   A highlighted CV: The CV should highlight (via color coding/shading) calendar year 2020 accomplishments. There are no restrictions on page lengths for CVs.
     *   Note: Tenured faculty will not receive an annual review this year per the Provost's guidance around reducing nonessential service for department heads.
     *   Also note: Per the provost's guidance<https://provost.uoregon.edu/guidance-promotion-and-tenurereview-processes> 3rd year reviews for will be postponed until AY21-22 unless the faculty member eligible for a review opts to be reviewed.
