Disposal of Equipment Acquired through Grant or Bond Funds

Good afternoon,
The Business Affairs Office (BAO) Property Control Department would like to remind campus departments of our responsibility when disposing of equipment purchased with grant or bond funding. As recipients, we are responsible for serving as stewards of the resources provided by outside agencies. This responsibility extends to equipment purchased by those funds.
Equipment includes:
* Capitalized equipment (generally $5,000 or greater that has a useful life of more than one year)
* Vehicles
* Vessels
Disposal methods include, but are not limited to:
* Surplus
* E-Waste
* Cannibalization
* Transfers
* Trade-ins
Under certain conditions, ownership of equipment purchased with grant or bond funds may not reside with the UO. The outside agency may require the equipment to be returned or disposed of in accordance with their policies or the contract's terms and conditions. To ensure compliance with this policy:
* All disposals must be coordinated through the BAO Property Control Department
* Sponsored Projects Services approval must be obtained prior to disposal of grant funded equipment
* Treasury approval must be obtained prior to disposal of bond funded equipment

*** Please note: records for real property and equipment acquired with Federal funds must be retained for 3 years after final disposition of the asset.
