travelnews: Time to clear prepaid airfare/travel expenses in A5020!

[BAO news for travel administrators]

Hello Travel Coordinators,

It is time to review to see if you have cleared all of your department's airfare and other travel related expenses that were coded to prepaid expense in FY 15 with account code A5020.

Run a query in Banner form FGIGLAC in FY 15 with your department funds and account code A5020.

Please enter a journal voucher in FY 16 to credit your fund and prepaid expense account code A5020 and debit the appropriate index, travel account code and activity code.

Tips:

*         Only airfare charges were coded to prepaid expense. Travel agency fees were not.

*         Amounts of airfare that authorized and amounts posted sometimes vary slightly because the quote from the agency does not always hold firm until they issue the final ticket.  Always verify the amount in banner before entering a JV to clear.

*         If you are balancing your accounts and can't find an airfare charge that was booked prior to 5/25/15, it may have been coded to A5020 even if you used a travel account code on the airfare authorization.  You may find an agency fee in FGITRND, but not the charge for the airfare.

*         Some funds like 001100 have a lot of entries and it may be quicker to download the data into an excel spreadsheet for better sorting options.
