travelnews: Concur Tips - All about Request: Purpose, Inactivate, Close, Copy

Concur Requests are completed to provide for a pre-travel approval and in many cases, to finalize purchase of an airline ticket.  Once approved, travelers or their delegates click on the Request button to:


*         Click the Book button to launch the Concur Booking Tool:  https://ba.uoregon.edu/travel/concur   See Concur Manual for "Booking Travel from an Approved Request"

*         Forward a copy of the approved Request to the TMC to authorize ticket purchase and charge the UO credit (lodge) card:  https://ba.uoregon.edu/travel/concur See Concur Manual for "Notify the TMC of a Request Approval"

*         Create an Expense Report from the Approved Request:  https://ba.uoregon.edu/travel/concur  See Concur Travel Manual for "Create an Expense Report"



How to Inactivate or Reactivate a Request:  A Request remains active for 45 days even after a related Expense report has been submitted and approved. The Request remains available in case other expenses related to the same trip surface.  At 45 days past travel the Request will automatically inactivate.

If you feel that it is unlikely that you will have further expenses related to an active Request that has already been expensed, you can open the Request and click on the "Close/Inactivate" button.  Emails will stop urging you to start a new report.  The Request will no longer appear on your list of Active Requests but can always be accessed from the small blue View button.  There is nothing to lose by inactivating a Request. A Request can always be reopened by contacting the Travel Office.

Close a Request you will not be using for Booking or for Expenses by clicking the Cancel Request button:

Copy a Request:  If you have a trip you make regularly, you can save time by using the Copy feature.  Locate the Request and click on the check box on the left, and click Copy Request

Change the name to the new trip and enter new dates.  You can choose to include Expenses and Segments from the original request:
