travelnews: How to Work with a TMC (Travel Management company - UO Travel Agent) for an Agent Assist Booking

To Concur Users and Delegates:

You may prefer to use the Concur booking tool when shopping and booking a simple itinerary.  However, we recommend using your TMC when you are traveling internationally or when including personal time/stops with your business travel.  Benefits in using a travel agent include:


*         Preparation of comparison quotes for the business only itinerary when including personal time

*         Split ticket payment capability - if your personal itinerary is more expensive the agency can charge the UO for the business expense and take your credit card for your personal portion

*         Assurance that your travel is to the airport closest to your international destination for the most efficient and economical travel

*         Assurance that your international itineraries are Fly America or Open Skies compliant when using federal grant funding

*         Assurance that your tickets are issued correctly when your itinerary includes multiple airlines, considering ticketing and baggage agreements between airlines, or lack thereof.

*         Booking rental cars at state contracted rates and hotels with your air itinerary

*         Emergency assistance for weather or mechanical delays/cancellations

*         Waivers and favors - sometimes your agent can call in an airline favor to secure a seat assignment, to clear a waitlist, or to convert a cancelled ticket into another traveler's name

Proper planning and organization is important when working with your agent.  Please see the helpful document attached for step-by-step instructions to help you work effectively with your travel professional.

Please respect the UO's professional relationship with our agents.  If you contact the agency for assistance, please complete your booking with them.  Your agent is entitled to earn their ticket fee for providing consultation and quotes.  If you plan to use the Concur booking tool, please do not contact the TMC.

All UO travel policy questions should be directed to the UO Travel Office, rather than your travel agent.
