I have had several people ask me to clarify what the Visa One Card can be used for. The One Card is used for reimbursable business travel expenses.

Subject: ONE CARD - New UO Corporate Travel Card ** DRAFT

Please forward to all UO business travelers:

Are you a UO business traveler and have you applied for your One Card corporate travel Visa card? About 600 UO travelers have applied for and are using the new One Card Visa card to pay for business travel expenses.

Benefits:

· UO pays the statement. You never receive a bill.

· Visa is a widely accepted form of payment.

· No mixing of business and personal finances.

· Card can be used for all reimbursable business travel expenses.

· Department admin has no responsibility for card administration or reconciliation.

· Charges flow directly into your Concur report to be reconciled with other expenses related to that trip. Simply note business purpose and attach electronic receipt.
Reminders for One Card Visa card holders:

· Receipts: Remember that all business expenses require receipts for reimbursement, per IRS and UO policy guidelines. Using a One Card does not eliminate the need for receipts. Use your smart phone and/or your Concur mobile app to capture an electronic receipt.

· Usage: The One Card is for reimbursable business travel expenses while in travel status. It cannot be used for personal expenses, local charges, supplies, meeting rooms or expenses or other non-travel charges. Check with Purchasing and Contracting service for information about departmental P-Card for paying for non-travel expenditures.

· Reconciliation: Allow 1-6 days for charges to flow into your Concur profile before submitting your report. Be sure to check your list of Available Expenses in Concur to assign your One Card charges to your trip’s expense report.

· Travel Alert: Before you leave for an international trip, call US Bank customer service (800-344-5696) or go online to set up a travel notification. That way your card charges won’t be denied due to suspicious activity. https://benefits.usbank.com/personal/manage-my-account/self-service/travel-notifications.html
