Updates



*         Important Fiscal Year End Deadlines

*         July 7, Last day to submit Payroll Accounting Adjustment Form (PAA) labor redistribution to be processed for period 12.

*         July 10, Last day to direct input PHAREDS for labor redistribution in FY22 (Items must have a June transaction date and be input by 5:00pm).

*         July 10, Fiscal Period 12 Closes

*         July 14, Last day to submit Payroll Accounting Adjustment Form (PAA) Labor redistribution to be processed for period 14 (must include written justification and be authorized by a Dean Director or Department Head). All forms must be in the Payroll Office by 12:00pm.

*         July 15, Fiscal Year Closes


*         GE Fall Hiring Deadlines

*         July 21, Division of Graduate Studies ePRF submission deadline.

*         Sep 8, payroll document deadline.


*         I-9 COVID Flexibility Ending - Per DHS<https://www.ice.gov/news/releases/ice-updates-form-i-9-requirement-flexibility-grant-employers-more-time-comply>, the COVID exception that allows for virtual collection of the I-9 for employees working remotely will end as of July 31, 2023. As of August 1, 2023, all I-9s must be completed in person and cannot be done over Teams, Zoom, or FaceTime, even for employees working outside of Eugene. Reminders



*         Terminations, LWOP, FTE Reductions - Please notify our office immediately if you become aware of employees, especially salaried employees, who are terminating their appointments, going on leave without pay, or reducing their FTE before June 30, 2023. This includes salaried employees who will have insufficient paid leave hours to cover time off or prior separations in which paperwork is just now being submitted.

Our office would like to work with you in adjusting the employee's June pay to prevent an overpayment. Your prompt notification will prevent financial hardship for the employee. You may email payroll at uoregon.edu<mailto:payroll at uoregon.edu>, or one of our contacts below:

*         Help Us Go Paperless: Regular monthly earnings statements are always available on DuckWeb and the Payroll office is strongly encouraging everyone to sign up for the paperless option via DuckWeb. Printed earnings statements will be delivered via Campus Mail to departments based on the Org name listed on the earnings statement. If your department must mail paper earnings statements to employee addresses on file, a mail slip will need to be provided to Mail Services with the index to be billed for the postage and handling.


*         July 1, 2023 Updates - A preview of things to come. More information will be provided before Time Entry in July.

*         Minimum Wage - Oregon's minimum wage<https://www.oregon.gov/boli/workers/Pages/minimum-wage-schedule.aspx> is set to increase on July 1, 2023. All jobs that are below the new rates will automatically be updated in Banner.

*         Federal Work-Study Index changes - Every fiscal year the Federal Work-Study indices change. The new indices go into effect as of July 1, 2023. Refer to Work-Study Indices and Program Codes<https://ba.uoregon.edu/payroll/work-study-indices-and-program-codes> for the new indices.
