Updates


·         Student Payroll Specialist - Mike Kasahun has joined the Payroll Office as our new Student Payroll Specialist. He comes to us from Purchasing and Contracting Services where he worked primarily with the Oregon Bach Festival. You can contact him at 6-1121 or mikek at uoregon.edu<mailto:mikek at uoregon.edu>.



·         Shift Differential - The Payroll Office is trying to gather information regarding how departments calculate Shift Differential for eligible employees. If you pay Shift Differential to any employee, please email Ben Kane, bkane at uoregon.edu<mailto:bkane at uoregon.edu>, with the details of how you determine the amount and what intervals are used. Thank you for your assistance.





·         PHAREDS - The "Change All" box that is located in the bottom section of the Edit Labor Distribution tab works differently in Banner 9 than it did in Banner 8.  In Banner 8, users had to select the "Change All" box before saving any changes.  In Banner 9, users cannot select it until after they have saved their changes.  If you experience any issues with PHAREDS, please contact the Payroll Office.



·         Inclement Weather - Under current university policy and our collective bargaining agreements, employees who were not working remotely during the closure must generally use accrued leave - such as vacation, personal leave, or compensatory time - to be paid during a university closure.  In light of the unique nature of these weather events, however, senior leadership has decided to make an exception to our practices.  This is a discretionary decision made on a case-by-case basis and does not change our general practice. o   Full Day Closures (February 25th and 27th) -->  If an employee was scheduled and available to work on either of those days, they should receive regular pay for their scheduled shift.  They are not required to use their leave time to cover it.  Earn codes for each employee type are below.

*Important Note* Departments will only need to enter these hours into PHAHOUR for hourly employees.

§  GE  :   GTA

§  Students: RST (These hours cannot be charged to federal work study awards)



o   Delayed Openings (Eugene:  February 26th and 28th, Portland:  February 27th) --> Non-exempt employees will need to use paid leave - vacation, personal leave, or compensatory time - or may use leave without pay for any work-time they missed during the delay. Reminders


·         Department Payroll Coordinators - The Payroll Office maintains a list of Department Payroll Coordinators, which we also use to determine who receives notifications regarding Manual Checks that are processed. It can be found on the Banner Guide on the main HRIS page<https://bg.uoregon.edu/content/hris-human-resource-information-system> under the General Interest column. It is manually updated as we are informed of changes. Please review the list for your department and contact Keri Bartow, kbartow1 at uoregon.edu<mailto:kbartow1 at uoregon.edu>, or Ben Kane, bkane at uoregon.edu<mailto:bkane at uoregon.edu>, if you have any changes.

·         Terminations - Please notify our office immediately if you become aware of employees who are terminating their appointments or going on leave without pay before March 31st, 2019.  This includes salaried employees who have insufficient paid leave hours to cover time off.  Our office would like to work with you in adjusting the employee's March pay to prevent an overpayment.  You may email (payroll at uoregon.edu<mailto:payroll at uoregon.edu>) or fax (6-1109) a copy of the termination PRF to the Payroll Office while the original document is in route.  Your prompt notification will prevent financial hardship for the employee.
