payroll: Time Entry Guidance for Recent Campus Closures

Dear HR Partners and Payroll List members:

On January 4, the university closed campus due to inclement weather and notified campus that "employees who are not designated as 'essential' may leave as of 1 p.m." after notifying their supervisors. On January 5, the university did not open until 10:00 a.m.

Please use the following guidance to complete time entry for non-essential employees* on these two specific days:


*         January 4-Employees who were at work at the time of campus closure receive regular pay from 1:00 p.m. until the end of their shift. Use of paid leave is not required.



*         January 4-Employees who were scheduled to start work after 1:00 p.m. receive regular pay for their scheduled shift.  Use of paid leave is not required.


*         January 5-For units who opened late, employees are required to use leave for the time missed due to the delayed opening.


*         January 4 and 5-Employees who were already scheduled off or did not work are to use leave (e.g., sick leave, vacation).

*employees include student and temporary employees, SEIU classified, Teamsters classified, officers of administration, faculty, and graduate employees.
