Subject: coe-fac: COE Planning for Fall Resumption
Dear COE Faculty and Staff,
It is the university's expectation that a majority of employees will return to work at a UO location by September 13th 2021 (or at the start of their Fall contract for faculty 9-month members).
To accommodate this expectation, the COE is planning for a staged return to occur starting on September 1st. Over the course of September, faculty and staff will begin the process of returning to pre-COVID levels of in-person activity (meetings, office-hours, student-services, other duties) in the college, (a) in keeping with changes to public health guidance, and (b) in coordination with their supervisor.
* Staff: Over the course of summer, supervisors will meet with staff and all relevant team-members to discuss schedules, seating arrangments, and other coordination details as they determine what each program or team's return-plan will look like to meet the September 13th expectations. These arrangements can remain flexible and experimental through the Fall quarter.
* Faculty: Fall instructional faculty are expected to resume their pre-COVID levels of activity by September 16th. All other faculty may extend their return through September 30th.
* Students: Program or unit faculty and staff will communicate directly with students regarding any notable changes to the program's in-person activities or services.
To assist in these efforts, all individuals who will need IT or facilities support as they return with equipment or furniture are asked to complete the following brief survey to indicate the timeframe they might need support Return to Campus Planning Survey<https://urldefense.com/v3/__https:/oregon.qualtrics.com/jfe/form/SV_d4iyVfiHoFqMQvQ__;!!C5qS4YX3!UF3Y-SeNsjR8cYavO6mO-639MFSq0n8HYsxWQaGo48MIXsbt3-3-7pQEOVCuzzdwbw$>. Individuals who do not complete the survey but who encounter an unanticipated need for IT or facilities support will need to go through typical IT channels to request support and should expect delays.
Although the college is encouraging this staged return, we understand the myriad of factors influencing each individual's decision and timeline. The university has reminded us that faculty and staff may have exceptions to these return dates related to flexible work arrangments, medical accommodations, or approved leave.
Faculty and staff interested in returning to their offices over the summer may use the following survey: COE Return to Campus Planning Survey<https://urldefense.com/v3/__https:/oregon.qualtrics.com/jfe/form/SV_d4iyVfiHoFqMQvQ__;!!C5qS4YX3!UF3Y-SeNsjR8cYavO6mO-639MFSq0n8HYsxWQaGo48MIXsbt3-3-7pQEOVCuzzdwbw$> to indicate their intent to return. Opportunities to informally move back to campus will begin after July 26th.
Three additional notes:
* Health guidelines: We will share guidance about safety measures and other physical expectations that will be in place closer to the Fall once that information has stabilized (e.g., masks, distancing, vaccination tracking). We know this information may influence some decision-making.
* Community factors: COE will engage in coordinated discussions with the university as information changes that may impact large groups of the college (e.g., local school district schedules, city transit). Individual circumstances will continue to be addressed on a case by case basis.
* Decision-making: Staff supervisors will be provided general decision-making guidance to assist as they engage in supporting their teams through this transition.
We will continue to share information as it becomes available.
Best,
Dianna
