Dear Faculty and Staff,

This note shares some preliminary information regarding how the CoE will prepare to offer distance classes in the event of unexpected academic disruption.

First, please note: The Academic Council has approved our college’s use of Zoom for the purposes of streaming course content in the event of academic disruption. However, as shared last week, the Academic Council continues to require the use of Canvas* for sharing materials, assignments, and recording grades etc. See their messaging here for additional important detail: https://provost.uoregon.edu/academic-continuity-planning-expectations-and-guidelines

Information about trainings for both Zoom and Canvas is provided in this email. Even if you have prior experience with these platforms you are encouraged to attend to re-familiarize yourselves with the technical aspects of these platforms as technical support will likely be stretched thin.

1.       Canvas: Please review the attached communication for UO training sessions on the detailed tools within Canvas. https://provost.uoregon.edu/canvas-trainings-academic-continuity-preparations

2.       Zoom: The CoE will be offering in-person sessions on how to utilize Zoom* to its fullest potential, from setting up an actual Zoom meeting, the necessary technology requirements, and tips to avoid many of the potential pitfalls that come with online streaming. These sessions will be facilitated by Adam Pritt at the following times and locations.

·         HEDCO 230 T: March 10th:  Anytime between 1:30 PM and 2:00 PM

·         HEDCO 230 T: March 13th:  Anytime between 3:30 PM and 4:00 PM

·         HEDCO 230 T: March 19th: Anytime between 9:00 AM and 9:30 AM

In addition, the CoE will also train dedicated individuals within each department to ensure each department has someone with working knowledge of Zoom. The list of these trained individuals will be sent out as soon as they are available.

*Finally, how and when to request a zoom license:

·         Short-term, isolated needs: In the event an individual instructor of record needs to facilitate remote course delivery this Winter in advance of widespread academic disruption, the CoE will provide Zoom licenses on an as-needed basis. Please contact Ken Loge (kloge at uoregon.edu<mailto:kloge at uoregon.edu> )to request a license.

·         Mid- to longer-term, widespread need: In the event of widespread or extended academic disruption, the CoE will have licenses available to distribute to the college, and will send out communication on how to obtain a license.
