coe-staff: Gathering Photos of our students, classes, and campus

 Hello everyone,

We are continuing to compile a repository of recent photos and videos from around our college in order to further visually spruce up our website, social media postings, and printed materials.

As we do so, it’s important we gather and store these photographs in a way that we can ensure we have permissions to take and use the photographs, while also allowing the files to be easily and quickly accessible.

Here are just a couple of things to note and a recommendation that I think can help us work towards this goal together:

Permission Forms

  *   Any photograph that has a person in it, needs a model release form<https://communications.uoregon.edu/sites/communications1.uoregon.edu/files/uo-model-release.pdf> (The form is also available in Spanish<https://communications.uoregon.edu/sites/communications1.uoregon.edu/files/uo-model-release-spanish.pdf>).
     *   Important note: Only use this Model Release form. Please discontinue use of all other permission forms and use this model release form exclusively. This is the only form that University General Counsel has explicitly endorsed.
     *   These permission forms should be scanned and saved in the same file with the photographs, with descriptors written on the form (i.e. John Doe is the person in a blue shirt and navy kilt) so that we can easily match photos and forms.

Sharing and Storing the Photographs

  *   The easiest way for you to share and store your photographs is by creating a program-specific OneDrive folder. Please share the link to this onedrive photographs folder with coesocial at uoregon.edu<mailto:coesocial at uoregon.edu> and/or juls at uoregon.edu<mailto:juls at uoregon.edu> so that we can more easily tap into these resources for our website, social media, and printed materials needs.
     *   Include the completed permission forms (as noted above) and name the photo with the names of the people, or create tags with their names.
     *   Everyone has access to OneDrive via Microsoft Office 365 that can be signed into using your DuckID, from any computer
     *   Instructions for uploading photos to the OneDrive<https://support.office.com/en-us/article/upload-photos-and-files-to-onedrive-b00ad3fe-6643-4b16-9212-de00ef02b586>
  *   If you were previously using the Collage site, please begin uploading all new photographs in the OneDrive, as space is beginning to run low on the Collage platform. No need to move your previous photos, you will retain access.

If there is a large interest, Juls and I are happy to lead a workshop on photos, permission forms, and saving to the OneDrive in the New Year.
