coe-staff: COE Website Update

Dear Faculty and Staff,

This message is intended to provide a critical update on the COE’s website development timeline and our remaining associated activities.

The primary focus of the COE website is the prospective student.

The COE website is scheduled to launch in three phases. Following a critical review of our resources, the first phase is now scheduled to launch on February 4th 2019.

This timeline is unfortunately later than our original estimates. To ensure that your current prospective students continue to receive accurate program information in the short term, programs are permitted and encouraged to make accuracy and clarity changes to their existing web pages so that recruitment can continue during this high traffic period.

College Website Phase 1: Content review and input:

By Monday Oct. 1, I will be sharing specific materials with each program. The materials you receive will include a questionnaire, and a sample of text. You will be asked to use that material to provide specific information about your program with a limited number of words.

Depending on the various characteristics of your program (number of degrees, licensure expectations, endorsements, etc.) I estimate that the average time needed to compile content will take an informed individual anywhere from 2 to  8 hours to complete. The window for programs to compile this information will be open from October 1st – October 15th. Please provide your program’s input to me by 5:00 pm on October 15th.

The content you provide will then be reviewed for accuracy and for alignment with COE, UO, and other relevant policies as appropriate (e.g. TSPC, accreditation, licensure), followed by review and editing to fit contemporary web language expectations for the prospective student audience. Programs will be provided an opportunity to view the content and provide comment in staging on the actual site November 30th – December 7th.

The materials I send on Monday will detail the specific expectations for completion, however a few notes:

  *   Please respond to this email and assign a primary contact individual
  *   The primary contact will be asked to facilitate the gathering of content and to ensure that:
     *   Information is submitted in a single document.
     *   Feedback is actionable and constructive.
     *   Concerns or questions about the process are raised early.
     *   The completed feedback is submitted by the October 15th deadline.
  *   I cannot accept links to other sites or attached PDFs as answers to the questions in the questionnaire.

College Website Phases 2 and 3: Build out (prospective students)

Phases two and three will continue seamlessly in February and will consist of adding information to build out the Phase 1 framework. For example, following the initial launch we will still be adding information about student opportunities, more college brag points and statistics, as well as student testimonials, videos, and updated photos.


Program Microsites: Current students, faculty and staff

Please note that the updated COE website’s primary audience is the prospective student. The guidance in this email relates to content for that audience. However, in addition to the College website, programs will communicate with other critical audiences through program “microsites”. These additional program materials (i.e. related to current students, faculty, research, and internal administration) will be facilitated in a separate process. I will be providing guidelines and best practices of what will need to be moved to other mediums. More information will follow, including information on training sessions led by Jeff Woodbury. In the interim, programs are encouraged to consider what information they would like to retain from the existing COE website to feed their own microsites.

I remain dedicated to this project and the college, and am just as anxious as the rest of you to get our new website live. I look forward to working through the final stretch of this process with you!
