Subject: coe-staff: 2018-2019 Workload policy update

Dear Faculty,
Welcome back! I know this is only one of many welcome back messages you will be receiving in the next few days, so I thought it might be good to share one that is primarily informative.
As of December 5th, 2017, both of the COE's faculty workload policies were finalized following their respective CBA policy development phases https://coedocs.uoregon.edu/pages/viewpage.action?pageId=8912911 . This means that we are starting the 2018 - 2019 academic year with both of our CBA workload policies intact. While it is important to acknowledge that these policies have been (and will likely continue to be) debated in the appropriate forums throughout the college, these policies are now in place. The full implementation of these policies and any related changes to our practices, will begin this 2018-2019 academic year along with the collection of data that will inform any future changes that are deemed necessary (based on the policies' implementation). As noted in previous communications, both the NTTF and TTF policies have anticipated the formation of review committees (Task Forces) who will review their implementation to address any concerns that may arise.
As we continue to implement these new policies, Department Heads will be engaged in the careful facilitation of certain processes:

* Development of individual Work Assignment documents: Department Heads will complete these with their faculty annually to document workload per faculty member (instructional and non-instructional) and note any caveats, changes, or specific arrangements.

* Collection of annual workload data by department: Department Heads will complete these with their Business Managers to document workload per department and note any caveats, changes, or specific arrangements.

* Review of any NTTF position descriptions in order to identify and develop consistent language for non-instructional (administrative) duties across programs and departments.

* Development of task-specific job descriptions for administrative (i.e. non-instructional) roles, such as Program Coordinator and Program Director.

These activities will generate the most change in those NTTF position descriptions that list administrative (non-instructional) responsibilities. Many of these discussions began in departments last year. Any changes that come about as a result of the bullets above will be made in consultation with Department Heads and Program Leadership and with input from impacted (potentially impacted) faculty as appropriate.
Because the work that faculty engages in is multi-dimensional, we know that some of the content of the policies will not fit all of the unique circumstances that we might encounter, for that reason, the Implementation Guidance document (attached) was created and distributed to provide Department Heads with support as they navigate unique and nuanced circumstances of our faculty's day to day reality.
Feel free to follow up with me if you have any questions.

Best,

Dianna
