Hello All!
We are working on improving our calendar process for events. While we will be sending out weekly events updates, we’ll also be placing these events on a calendar accessible to the entire college. In addition, this calendar will be a place where anyone can put things such as committee meetings, departmental or unit staff meetings, colloquia, community events, and student workshops.
What sort of events should go on the COE calendar?
Here is a rough guideline of events that could go on the calendar. If you’re not sure, just ask!
* It is a COE sponsored event or hosted in the HEDCO/Lokey complex
* It is a cross departmental event
* It has a research/educational focus of interest to students, staff or faculty in the COE community
* It benefits more than one person (for example not a book signing or a fundraiser for a single person)
Instructions For People on Outlook
Those who use Outlook will be able to create their own calendar event listing. All you have to do is create a meeting in your Outlook calendar, invite coeevents at uoregon.edu<mailto:coeevents at uoregon.edu> and click send.
This will go to the coeevents email address where it will be screened before posting. Because of this, events won’t go up immediately; it may take up to 2 business days to see your event posted to the calendar. You should receive an automated notification (“coeevents at uoregon.edu has accepted your event invitation<mailto:coeevents at uoregon.edu%20has%20accepted%20your%20event%20invitation>”) when your event gets posted: if you don’t, and you still cannot see your event on the calendar, please email coeevents at uoregon.edu<mailto:coeevents at uoregon.edu> with any questions. Please include a point of contact name and phone number for each event. If it’s a public or community event, feel free to also include a description as well.
In order to view the COE Events calendar, navigate to the Calendar page of Outlook. Then, click on the box where it says “Open Calendar.” From the drop down list, select “Open Shared Calendar” and type in coeevents at uoregon.edu<mailto:coeevents at uoregon.edu> then hit enter or “OK”. This will add the calendar to your viewable calendars window.
Events in the Outlook calendar will be color coded as follows:
Green: COE wide events such as Graduation, Faculty Staff Meetings, Invited Colloquia
Yellow: Departmental or committee meetings, board meetings, internal meetings
Blue: Student centered events such as SAS workshops or recruitment events
Purple: Community events such as fundraisers or events open to the public
People not on Outlook
For those not on Outlook who want an event added to the calendar, just send an email to coeevents at uoregon.edu<mailto:coeevents at uoregon.edu> in the following format:
Name of event:
Date:
Time:
Location:
Audience (students, staff, faculty or community):
Contact name if there are questions:
For those not on Outlook who want to see the calendar, it can be found on the web here. The color coding we use in the Outlook version does not show on the web version: https://coedocs.uoregon.edu/confluence/display/administration/COE+Events+Calendar
