Dear Faculty,
The COE's faculty annual performance review process begins February 1, 2020. All faculty must submit materials to their supervisors by March 6th, and all supervisors must complete their 1-1 performance evaluation meetings and submit final materials to COE HR by April 8th. The guidelines and procedures below describe expectations for completing these annual faculty reviews.
Timeline for all Faculty Reviews (Instructional NTTF, Research NTTF, and TTF):
* The period under review for all faculty is January 1, 2019 - December 31, 2019. The review will encompass all professional activity within the calendar year (which includes publications, instruction, service, research and contributions to equity and inclusion as relevant to the faculty position).
* No later than March 6, 2020: By this date, all faculty will submit required documents to their supervisor. Supervisors will begin scheduling 1-1 annual review meetings with faculty to discuss performance in the past calendar year and discuss performance goals for the upcoming year.
* April 8, 2020: By this date, supervisors must complete all evaluations and submit all evaluation materials to COE HR.
* For instructional NTTF and TTF, the evaluation materials expected for submission include the Executive Summary, CV, and FARE* [Faculty Annual Review and Evaluation] feedback form for each faculty member.
* For research NTTF, the evaluation materials expected for submission include the Annual Evaluation Form and CV.
* *Faculty Annual Review Templates and Forms<https://coedocs.uoregon.edu/display/governance/Annual+Review+and+Merit+Review+Policies> are available on the COE Governance site. Faculty and their supervisor must use the most current versions of the templates stored on the COE Governance site.
The COE Faculty Annual Review and Merit Department Guidelines<https://coedocs.uoregon.edu/display/governance/Annual+Review+and+Merit+Review+Policies> have been revised to include winter term in the timeline for the annual review meetings with faculty and their supervisor. Some departments/units may need to schedule some 1-1 meetings in early March in order to finish the review process for the entire department/unit in early April.
"Annual Review meetings between the faculty member and immediate supervisor (Department Head or Program Director in academic units; Unit Director or direct supervisor in research units) are conducted in the winter and spring terms."
Materials per Faculty Classification:
Instructional NTTF (Career, Retired and Pro Tem):
* No later than March 6, 2020, instructional NTTF must submit a completed Instructional NTTF Annual Review Executive Summary* and a highlighted CV to their Department Head and Program Director. The Executive Summary document outlines performance accomplishments, achievements, and growth over the performance period of January 1, 2019 - December 31, 2019. The Executive Summary should be no longer than two pages in length. The CV should highlight (via color coding/shading) calendar year 2019 accomplishments. There are no restrictions on page lengths for CVs.
Research NTTF (Career, Retired and Pro Tem):
* No later than March 6, 2020, research NTTF must submit to their supervisor a Research NTTF Annual Evaluation form* with sections 1 - 5 completed and a highlighted CV. Note that there are three versions of the Research NTTF Annual Evaluation form, one for each research classification series (Research Assistant, Research Associate, Research Professor). The CV should highlight (via color coding/shading) calendar year 2019 accomplishments. There are no restrictions on page lengths for CVs.
Tenure Track and Tenured Faculty:
* No later than March 6, 2020, TTF must submit a completed TTF Annual Review Executive Summary* and a highlighted CV to their Department Head. The Executive Summary document outlines performance accomplishments, achievements, and growth over the performance period of January 1, 2019 - December 31, 2019. The Executive Summary should be no longer than four pages in length. The CV should highlight (via color coding/shading) calendar year 2019 accomplishments. There are no restrictions on page lengths for CVs.
