In years past, faculty members have been able to select ‘Bill Department’ without needing to input an Index Number. We’ve hit a few snags with billing the past couple of years because we did not have Index Numbers at the time of invoicing departments. After talking with our Controller, this change was made for the 2019 commencement season in order to avoid these challenges. That said, we are certainly able to accommodate your request to not require an Index Number for all COE regalia orders. Please have your faculty simply enter ‘Bill COE’ in the Index Number field and we’ll make a note for our operations team that we can bill without an Index Number.

This is the second year we’ve sent an email blast out to faculty members requesting their regalia orders and we certainly did not intend to create any confusion, so our apologies if you received unexpected questions from your faculty. Our primary goal with these emails is to reach out to any & all faculty who placed a regalia order in the past and make the reorder process as smooth as possible. Since we didn’t receive any negative feedback or inquiries last year, we proceeded with the email blast as scheduled.

As our deadline for faculty regalia orders is May 1, our intention was to send out an initial email blast in March and then follow up with any faculty members who have yet to place their 2019 regalia reorder beginning of April. We plan to send a final email reminder to faculty just before the May 1 deadline.
