**Change to secure dropbox and building hours**

Effective immediately, the business hours for the departmental deposit, and payroll paperwork dropbox at the Thompson's University Center first floor elevator lobby will be Tuesdays and Fridays, 8:00 AM to 11:00 AM.  The building will be closed all other hours.  For questions, please see contact information below for respective departments.  Thank you for your understanding.

Good afternoon.

In response to the modified operational status announced yesterday by Chief Resilience Officer Le Duc, the following changes to Business Affairs operations are effective immediately:


·         Cashiers

o   The Cashiers office in Thompson’s University Center (TUC) is closed to foot traffic.

o   Departmental deposits can be brought to TUC and placed in the locked dropbox located in the first floor elevator lobby.

o   Detailed instructions were sent to the Departmental Cash Handlers listserv yesterday and is archived here<http://lists-prod.uoregon.edu/pipermail/cash/2020/000028.html>.

o   Staff will be available by phone and email to assist you (6-3154, cashiers at uoregon.edu<mailto:cashiers at uoregon.edu>).

·         Student Billing and Collections

o   The Student Financial Services lobby in Thompson’s University Center (TUC) is closed to foot traffic.

o   Most student bill transactions can be conducted online, including email requests for Emergency Loans<https://ba.uoregon.edu/content/emergency-loans>.

o   Staff will be available by phone and email to assist students (6-3170, stubills at uoregon.edu<mailto:stubills at uoregon.edu>).

·         Accounts Payable

o   Outgoing wire transfers will be processed on Tuesdays and Fridays only.

o   Payment processing schedule including the above change:

§  Tuesday – JP Morgan Single Use Account (SUA), Automated Clearing House (ACH), Printed Checks, Outgoing Wires

§  Thursday – JP Morgan Single Use Account (SUA), Automated Clearing House (ACH)

§  Friday – JP Morgan Single Use Account (SUA), Automated Clearing House (ACH), Printed Checks, Outgoing Wires

o   If you have a critical payment issue, please contact Dan Patten, Accounts Payable Manager (6-4235, dpatten at uoregon.edu<mailto:dpatten at uoregon.edu>)

·         Payroll Services

o   The Payroll counter in Thompson’s University Center (TUC) is closed to foot traffic.

o   Payroll paperwork that contains sensitive information (SSN, DOB) should be faxed to the Payroll office (6-1109) or placed in the locked dropbox located in the first floor elevator lobby of TUC.

o   Payroll paperwork that does not contain sensitive information can be emailed to payroll at uoregon.edu<mailto:payroll at uoregon.edu>.

o   Employees not currently enrolled in direct deposit are strongly encouraged to do so.  Instructions are here<https://ba.uoregon.edu/content/direct-deposit-0>.

o   Printed paychecks will not be distributed at the Payroll counter.  Printed paychecks will be placed in US Mail for delivery to the Mailing Address currently on file.

o   Additional details are being shared with campus payroll coordinators.

o   Staff will be available by phone and email to assist you (6-3151, payroll at uoregon.edu<mailto:payroll at uoregon.edu>)

·         Banner Training

o   Scheduled classes will continue via Microsoft Teams.

o   Please contact Brian Strait (6-2387, bstrait at uoregon.edu<mailto:bstrait at uoregon.edu>) for additional information.

Please note that all areas/floors of Thompson’s University Center other than the first elevator lobby are closed to foot traffic.  This closure includes the entire Business Affairs Office, Budget and Resource Planning, and Internal Audit.  If you have meetings scheduled with personnel in any of those offices, please contact them directly for access to the building or for further guidance.
