Accounting for Equipment Purchases

Good afternoon,

The Business Affairs Office (BAO) Property Control Department would like to remind campus personnel how to properly account for purchases of equipment. Below are types of equipment and their associated account codes.


·         Minor equipment - Cost less than $5,000 per unit and/or a useful life less than one year.


·         Capital equipment - Cost of $5,000 or more per unit and a useful life greater than one year. The cost of the asset includes shipping, taxes, and installation. Warranty/maintenance costs and training are accounted for separately (see account codes 235XX and 29XXX). Capital equipment is tagged, depreciated, and inventoried biennially by the Property Control Department.

§  Attachments - Subsequent acquisitions combined with a specific piece of capital equipment. Attachments use the same account code as the capital equipment, regardless of cost. Document text should include the asset tag number associated with the attachment.


§  Construction-in-progress (CIP) equipment - Equipment under construction by UO departments. The completed equipment must have a total cost of $5,000 or more and a useful life greater than one year. Prior to commencing a CIP equipment project, send a completed ‘Intent to Construct Capital Equipment’<https://pages.uoregon.edu/baoforms/bao_drupal_6/sites/ba.uoregon.edu/files/forms/icce.pdf> form to the Property Control Department.
