Fleet Printer Program

As you may be aware, Printing and Mailing Services and Purchasing and Contracting Services (PCS) have been working to implement a strategic purchasing initiative for enterprise-wide managed print services for desktop laser printers. We recently executed an agreement with CTX/Xerox to provide managed print services campus-wide as a complement to the existing fleet copier program. Similar to the fleet copier program, the managed print services program is designed to consolidate toner and maintenance costs for desktop printers into one contract to take advantage of the University's buying power under a single agreement.

Under the terms of the agreement, departments will see a significant cost saving in per-click rates for printer toner, and a reduction in tech support time as CTX/Xerox will be providing printer maintenance.  In order to ensure all machines on campus are covered, CTX will replace any desktop printer not already covered by the program with a new printer of the same function.

Additionally, since connecting printers to the network improves efficiency and reduces costs, this program is structured and priced to incentivize connecting desktop printers to the network.  In support of this goal, if at any time during the term of this contract, a department chooses to connect an otherwise locally connected covered printer to the network, CTX will provide a new printer of the same functionality for free. Although the printer replacement is at no charge, there may be a standard, one-time jack activation charge (or wiring installation charge) from Information Services if required to put this new printer on the network.

During the fall, you may have noticed CTX conducting an inventory of UO's desktop printer fleet.  Using the data collected during that inventory, CTX will work with each department to develop a customized departmental implementation plan to transition that department's fleet of desktop printers to managed print services.  When applicable, CTX will coordinate with Information Services to ensure newly placed printers are networked appropriately.  Departmental business managers and IT staff should except to hear from CTX in the coming weeks and months to start implementation.
