PCS Open House Clarification

Hello Campus:

Purchasing and Contracting Services (PCS) recently sent out an announcement cancelling our department open house. On the same day, a notice announcing a separate PCard open house went out. This has caused some confusion.

If you are a PCard user, PCS hopes you will join us for PCard Policy open house discussion. There will be two sessions available: September 21st and September 28th.

The separate PCS Department open house will be scheduled at a later date after construction is completed.

UO Campus PCard Budget Authorities, Card Custodians, and Back-up Card Custodians:

In an effort to help make UO Purchasing Contracting Services (PCS) a more effective business support partner for your departments, we recently revised and posted our PCS Policy and PCard Policy.

Per these new Policies, PCard is viewed as a means of payment and so can be used for any UO business related expense in any amount provided that the relevant underlying University Policy, PCS Policy, and Travel Policy requirements are met and your department's PCard credit limits are set accordingly.

We are in the process of setting up all UO Budget Authorities, Card Custodians, and Back-up Card Custodians with US Bank Access data system credentials to view monthly card statements, real time transaction data, and clear fraud alert card locks for the PCards assigned in your areas.

We piloted this business approach with Athletics department.  Due to the success of this new approach, we plan make this same level of PCS and PCard business support available to all campus departments.

If you would like to discuss these new policies and implications for your departments, please stop by anytime Wednesday September 21st or Wednesday September 28th from 1:00 - 3:00 pm in the large Drake conference room off the 3rd floor lobby 1600 Millrace Drive building.  Greg Shabram (PCS Associate Director) and John Beeson (PCS PCard Manager) will be available to discuss and answer any questions that you may have.  The two meeting sessions are informal "trade show" style so just plan stop by and ask whatever questions you may have.
