During a Fall 2012 Budget Manager's meeting, we discussed an upcoming study regarding our existing copier fleet. Since that time we have made significant strides toward commencing a study to explore the possible benefits of implementing a managed fleet copier program.  With the current progress it is time for an update.

A consultant group has been selected to evaluate and provide a report on the life-cycle costs associated with all existing copiers at the University of Oregon. Currently, we are in the final contract negotiation phase of the process, and hope to complete the contract in February. The study will encompass not only our campus here in Eugene, but University of Oregon locations in Portland, Bend, and Charleston.
The purpose of the on-site study is to:

*         Determine if there is sufficient value to be gained in migrating from our current decentralized approach of individual copier acquisition to a centralized approach utilizing one contract/vendor

*         Analyze what, if any, reduction in administrative time devoted to managing equipment and paying departmental copier invoices may be saved under a centralized, managed fleet copier program.

*         Analyze what, if any, increases in financial control and cost containment may be achieved under a centralized, managed fleet copier program

*         Analyze what, if any, increases in environmentally sustainable practices may be achieved under a centralized, managed fleet copier program

*         Explore if a centralized, managed fleet copier program could improve the University of Oregon's ability to stay current with office copier technology
The centralized model already exists at many universities in the United States as-well-as universities abroad.

Once we have a finalized contract in place, we'll be sending out a notification to all departments outlining the consultants visit to the University of Oregon and needed project participation.
